Tie in-person sessions to your rooms and equipment so nothing is double-booked.

Beta. Resources is a newer feature, marked BETA in the menu, and may change.

Resources are the things your business books: Staff (people), Rooms (spaces) and Add-ons (equipment and extras, like mats, towels or a sound bowl set). When a session needs a room, Soul only offers times when a room is free, and reserves it with the booking.

When to use this

  • You have more than one treatment room or studio space.
  • Several practitioners share rooms, and you keep getting clashes.
  • Some sessions need equipment you only have a few of, or clients can rent extras.

Set up your rooms and add-ons

Open Resources

Go to Business → Resources ("Organize and manage the resources your business uses."). Staff is there from the start.

Turn on Room and Add-ons

In the banner at the top, click Enable Room & Addon. You can turn them off again any time.

Add your rooms

Select Room and click Add Room. Give each room a Name (for example Studio A) and an optional Description. Rooms have no capacity: a room holds one booking at a time.

Add your equipment

Select Add-ons and click Add Add-on. Set Capacity to how many you have, for example 12 yoga mats.

Set opening hours (optional)

Click a room to open it. Switch on Use weekly availability rules to set Weekly Hours and Date Overrides, for example if the room is only available on weekday mornings. Leave it off for "Always available: no schedule restriction". The Allocation calendar shows what's booked in it.

Connect them to a session

Rooms and add-ons only work with in-person sessions. Make sure In Person is on under Session Modalities first.

Assign rooms

Open the session type. In the Room row, click + (or … → Manage Rooms), click Add Room, and pick every room this session can use.

Choose who picks the room

Under "Who picks the room?" choose Auto-assign (Soul picks a free room) or Customer picks during booking (clients choose).

Add equipment

In the Add-ons row, click +, then Add Add-on. On each add-on card, set:

  • Required: on means no time is offered when none are free ("Blocks new bookings when at full capacity"); off means the booking goes ahead without it.
  • Auto-assign: on means Soul reserves it; off means the client picks it while booking.
  • Per attendee: on means each person in a group gets one; off means one is shared by the whole group.

See Add-ons and capacity for what each combination does.

Manage reservations on a booking

Each booking has an Assigned Resource section. For upcoming confirmed or pending bookings you can Replace an assigned room or staff member, or assign an add-on. In View All Bookings, filter by Assigned resource to see everything booked in one room.

Good to know

  • A booked room blocks that time. If every room is taken, the session shows no times then, even if you're free.
  • Required means required. If a required room or add-on has no options selected, the session page shows "Pick … options" in the "Not ready to share yet" checklist.
  • Watch group sizes. If a group session allows 8 people but a required per-attendee add-on only has 6, you'll see "Session capacity exceeds a required add-on", and larger bookings won't find times. Raise the add-on's capacity, or share it across the group.
  • Hybrid sessions are fine. Clients who choose online simply don't see room and add-on choices.
  • Keep it simple. One category each for staff, rooms and add-ons is usually all you need.

What your members see

With Customer picks during booking, they see Room above the calendar and choose a room (the first one is already selected). Add-ons with Auto-assign off appear under the add-on category's name. An optional one also offers None. Rooms and add-ons are only offered for in-person bookings. Their booking page lists the room and add-ons reserved for them.
