1:1 Sessions
Send emails automatically after booking
Send a prep email or a form every time someone books a session type.
The Automation tab on a session type runs an action each time that session is booked: "Automate actions when customers book this session type."
When to use this
- You want to send preparation notes: what to bring, how to get ready, what to expect.
- You want people to fill in a form after booking, rather than before.
- You'd like a personal welcome without writing it each time.
Set it up
Open the Automation tab
Go to Offerings → 1:1 Sessions, open the session type, and select the Automation tab.
Add a rule
Click Create Rule. The trigger is already set to this session being booked. Give the rule a name you'll recognise.
Choose the action
- Send Email: write a subject and message. You can personalise it with details from the booking, such as the client's name.
- Send form: pick one of your forms to email to the client.
Optionally add conditions, or click Skip Conditions.
Save
Click Continue to Review, check the rule, and save it. Use Test Action to send yourself a test first. The tab shows how many rules the session has.
Tips
- Form before or after? A Booking Form must be filled in to book. An emailed form is filled in any time before the session. Use the first for screening, the second for longer intake.
- Keep the meeting link out of it. Clients already get their booking details. Use the email for warmth and preparation.
- Each session type has its own rules. A discovery call and a paid session can send different messages, and one session can have several rules.
