1:1 Sessions
Run sessions with your team
Let team members host your session types, and choose whether Soul assigns them or clients pick.
Staff are the people who can host a session type. One session type can have several staff, so a client books "a massage" and gets whoever is free, or picks their favourite practitioner.
When to use this
- You run a studio, clinic or practice with more than one practitioner.
- An assistant or co-facilitator takes some of your sessions.
- Clients should be able to choose who they work with.
Set it up
Invite your team
Go to Settings → Collaborators and click Invite Collaborator. When they accept, Soul creates their staff profile automatically. See Collaborators.
Check your staff list
Go to Business → Resources and select Staff. Use Add Staff to choose how to add someone: Add existing collaborator, Invite a new collaborator, or Create a standalone staff profile (someone without a Soul login, whose bookings you manage yourself).
Set each person's hours (optional)
Click a staff member to open their page. Switch on Use weekly availability rules to set their own Weekly Hours and Date Overrides. Leave it off and they're always available, limited only by the session's hours.
Assign staff to the session
Open the session type. In the Staff row on the left, click + (or … → Manage Staff), click Add Staff, and select everyone who can host this session.
Choose who picks
Once staff are assigned, choose "Who picks the staff?": - Auto-assign: Soul picks an available team member. Clients don't see a choice. - Customer picks during booking: clients choose from your team on the booking page.
How bookings are routed
- A time is offered only when at least one assigned staff member is free then.
- With Auto-assign, Soul gives the booking to the first person in the session's list who is free. It isn't a round robin. See How allocation works.
- With several staff free at the same time, sessions can run in parallel, one per person.
- For online sessions, the meeting link comes from the assigned staff member's own Zoom or Google account. Ask each person to connect theirs in Settings → Integrations. Standalone staff (without a collaborator account) get no automatic link, so add one by hand on their bookings. See Link staff to a collaborator.
- The staff member's name shows on the booking. You can replace them on a confirmed or pending upcoming booking from the booking page.
Seeing bookings as a team member
On a session's Bookings tab, a switch shows My bookings (routed to you) or All bookings. If it says "No staff resource linked to you yet", ask the portal owner to link your staff profile.
Tips
- You're the host by default. Soul adds you to every new session type. If you remove every host, the page shows "Assign at least one host" and the session can't be booked.
- Use clear staff names. When clients pick, they choose from a list of names.
- Use one Staff category. Keep all your people in one place rather than creating several staff categories.
Staff hours limit the session. If the only person assigned has no hours on Tuesday, the session has no Tuesday times, even if the session's own Availability tab says otherwise.
What your members see
With Customer picks during booking, they see Who with above the calendar, with the first team member already selected. The calendar shows only the selected person's open times, and changes when they pick someone else. There's no "any available" option. With Auto-assign, they just pick a time. The Confirm Booking page and their booking page show who's leading the session ("With <name>").
