1:1 Sessions
Set your availability
Choose when each session can be booked, add breaks between sessions and advance notice, and block out holidays.
Clients can only book times you've opened. Availability has two layers:
| Layer | Where | Applies to |
|---|---|---|
| Weekly Availability and session Date-Specific Availability | Session → Availability tab | That one session type |
| Timezone, Booking Buffer Time, Minimum Notice Time, global Date-Specific Availability | Offerings → 1:1 Sessions → … → Settings (One-on-One Settings) | All your session types |
When to use this
- You're setting up a new session type.
- You want breathing room between clients, or no last-minute bookings.
- You're going on holiday, or have a one-off day with different hours.
Set your weekly hours
Check your timezone first
Open One-on-One Settings and pick your timezone under Portal Timezone (or Your Timezone if you work with staff). Your hours are set in this timezone. Clients always see times converted to their own.
Open the session's Availability tab
Go to Offerings → 1:1 Sessions, open the session type, and select the Availability tab. Each day of the week is listed; days without hours say "Unavailable".
Add time slots
Click + Hours (or +) next to a day, set a start and end time, and save. Add more than one slot to a day for split hours, such as 09:00–12:00 and 14:00–17:00. Slots on the same day can't overlap.
Edit or remove
Each session type has its own weekly hours. If you offer three session types, set hours on each one. A booking in any of them still blocks that time for the others, so you won't be double-booked.
Add a buffer and minimum notice
In One-on-One Settings → General Settings:
| Setting | What it does | Range |
|---|---|---|
| Booking Buffer Time | "Add buffer time between sessions for preparation." Keeps this many minutes free between bookings. | 0–120 minutes (starts at 15) |
| Minimum Notice Time | "Require advance notice before sessions can be booked." Hides slots that start too soon. | 0–168 hours (starts at 6) |
Switch each one on, enter the number, and click Save. Both apply to every session type.
Take time off or change one day
Use Date-Specific Availability. On a session's Availability tab it changes that session only. In One-on-One Settings it changes "all session types", which is what you want for holidays.
Click Create
Choose what to do
| Option | Meaning | | --- | --- | | Block | "Prevent all bookings" | | Override | "Replace regular schedule" with different hours that day | | Add Hours | "Open extra bookable time" on top of your usual hours |
Pick the dates
In One-on-One Settings you can select several dates at once, such as a whole week of holiday.
Set the times
For a holiday, keep Block all day on. Otherwise switch it off and set From and To times. Use Add Time Block for more than one window. Click Save.
Your changes appear in the list as Blocked, Override or Extra Hours (with "(Full Day)" when it covers the whole day). Click one to edit or Remove it, or use Delete All to clear them.
Tips
- Connect Google Calendar. In Settings → Integrations, connect your personal Google Calendar so your existing busy times block the session slots you host. Each linked team member's own calendar blocks theirs. See Integrations.
- Keep discovery calls in a narrow window. Give free calls fewer hours than paid sessions.
- Block holidays early. Clients can book weeks ahead, so add time off as soon as you know.
- Working with staff? Each staff member can have their own hours too. See Run sessions with your team.
A session with no weekly hours or date-specific hours can't be booked. The detail page shows "Set weekly availability" in the "Not ready to share yet" checklist until you add some.
What your members see
Only open times appear. Under Book a time, the calendar marks the days that have open times, and the page opens on the first open day with its first time selected. Clients pick a day, then a time, shown in their own time zone (they can change it under Times shown in). Days with nothing free can't be picked. If a month has nothing open, they use the arrows to move to another month.
