Check who holds a pass, whether they've paid and activated it, and start or end a pass for someone.

Every pass has its own User Passes list showing who holds it, its status, payment and dates.

When to use this

  • Check whether a client has activated their pass.
  • Start a pass for someone who asked you to.
  • End a pass early, for example after a refund or a request to stop.

Steps

Open the list

Offerings → Passes → your pass → Manage Users.

Read the table

| Column | What it tells you | | --- | --- | | User | Name and email. | | Status | Active, Not Activated or Expired. | | Transaction | Succeeded, Pending (checkout not finished), Refunded, Failed, or — for a granted pass. | | Validity | Start and end dates, "No end" for an unlimited pass, or "Not activated". | | Granted On | When they bought it or you granted it. |

Activate a pass for someone

On a Not Activated row, click Activate. The pass starts now and runs for its full duration. You'll see "Pass activated".

End a pass early

On an Active row, click Expire. The pass ends immediately and the holder pays regular prices from now on. You'll see "Pass expired".

Good to know

  • Activate always starts the pass right now. You can't pick a date for someone. To start on a set date, ask the member to use Start on a specific date on the pass page.
  • A member who scheduled a future start shows as Active here. Check the Validity dates to see when it actually begins.
  • A member who hasn't finished paying can't activate. Their Transaction shows Pending, and they see Complete Payment on the pass page.
  • People who buy a pass also appear in your audience as customers. See People and Customers & Subscribers.

Expire can't be undone from this page. To give someone access back, grant them the pass again.

Pass-holder prices only work on a paid (or granted) pass. If you fully refund a pass purchase, its Transaction shows Refunded and the pass prices stop applying, even if the Status still says Active. A partial refund leaves the pass working. Click Expire if access should stop, and to keep the list accurate. See Refunds.

What your members see

Their pass page updates straight away with the pass's new dates when you activate it or end it, for example "Valid from <start> until <end>".
