Automate follow-ups
Send an email or a form to each person automatically the moment they register for an event.
You'll end up with a rule that runs on its own: every time someone's registration for this event is confirmed, Soul sends them the email or form you set up.
When to use this
- A welcome email with logistics and what to prepare.
- An intake or intentions form to fill in after registering.
- A packing list for a retreat, sent to everyone who signs up, whenever they sign up.
Steps
Open the Automation tab
Go to Offerings → Events, open the event and click Automation: "Automate actions when someone registers for this event."
Create a rule
Click Create Rule. The trigger is already set to a confirmed registration for this event.
Choose the action
Pick Send Email to write a message, or the form action to send one of your forms by email.
Write the email or pick the form
For an email, click Compose Email Content and write it. You can add images, and personalize it with the person's name or the event title. Use Email Preview to check it.
Name it and save
Under Review & Save, give it an Automation Name, keep Enable this automation on, and save.
You can Enable or Disable a rule any time from the list, and edit or delete it.
Tips
- Reminders are already handled. Soul emails confirmed registrants 2 days, 1 day and 1 hour before the event. You don't need an automation for that.
- Automation vs. blast. An automation goes to each person once, right when they register, including people who register next month. A blast goes to everyone registered at the moment you send it, and can be scheduled for a specific date (for example, "the day before").
- Form before vs. after. To require answers before someone can register, attach a registration form to the ticket instead.
- Use it across events. Rules made here apply to this event only. To run one rule for every event, create it in Settings → Automations without a condition.
- Day-by-day sequences aren't available as automations. For a timed series of messages, use a Private Path.
What your members see
Right after their registration is confirmed, they receive your email (or a link to your form) in their inbox, alongside Soul's own confirmation email.
