Announcements
Send an announcement to everyone
Publish news on your portal and email it to your whole audience in one go.
Post your news on your portal and send it to every subscriber, customer and lead at the same time.
When to use this
- You're launching a course, retreat or new membership.
- You have news that matters to everyone who follows your work.
- You want your portal feed and your inboxes to say the same thing.
Before you start
- Check your email look once. Click Customize Emails on Audience → Announcements to set a header and footer. The sender name is your portal name. See Email Settings.
- Make sure your contacts are in People. Everyone (subscribers, customers, leads) means everyone listed there. Import your contacts first if they live elsewhere.
Create the announcement
Go to Audience → Announcements and click Create New.
Write it
Add a title (it becomes the email subject) and write your post. Add images in the body, an audio file or a voice memo if you like, and an optional thumbnail for previews. See Write an announcement.
Keep it public
Under "Who do you want to send to?", leave Public so anyone who opens the email can read it. If you add leads, Public is locked anyway.
Preview the email
Click Preview, enter your own email address and click Send Preview. Check how it looks in your inbox, on your phone too.
Publish and notify
Click Publish. Soul asks "Would you like to notify your community about this post?" Keep Notify members on, choose Immediately, and under Send to pick Everyone (subscribers, customers, leads). Add All Community Members too if your community includes people who aren't contacts. Click Publish & Notify.
Watch it go out
Open the announcement from the list. The Broadcast panel moves from Scheduled to Sending (with a progress bar) to Sent, with how many were sent, skipped and failed.
What happens next
- Immediately means within a few seconds of publishing.
- Large lists go out in batches, so a big send can take a while to reach Sent. You can leave the page.
- Each person gets one email, even if they're a subscriber and a lead with the same email or phone number.
- The post appears in Community Notes on your portal as soon as it's published.
Tips
- Write like you talk. Announcements read best in your own voice, short and warm.
- Want it on the portal but not in inboxes? Turn off Notify members and click Publish Without Notifying.
- Skipped isn't broken. People with no email or phone number, and people who've unsubscribed, are skipped on purpose.
- Ask Soul AI how it went a day or two later. It can report opens and clicks.
What your audience sees
An email from your portal name, with your title as the subject, your post (and your header and footer) and a link to read it on your portal. People Soul only has a phone number for get a text with a link. On your portal, the post appears in Community Notes, if that section is turned on in My Portal.
