Write, edit and delete private notes on anyone in People, so you remember what matters before you next see them.

Keep what you know about a client next to their history: what they're working on, what they asked for, what to follow up on. Notes live on the person's profile in Audience → People and only you see them.

When to use this

  • After a session, to jot down what you covered and what's next.
  • After a call or message, to remember a preference or a promise.
  • Before a retreat, to note dietary needs or intentions someone shared with you.

Add a note

Open the person

In Audience → People, click the person, then the Overview tab.

Write the note

In the Notes section, type in "Add a note…". Line breaks are kept.

Save

Click Save note. You'll see "Note saved", and the note appears in the list with how long ago it was written.

Edit or delete a note

  • Edit: click the pencil on the note, change the text and click Save, or Cancel to leave it as it was. You'll see "Note updated".
  • Delete: click the bin on the note and confirm "Delete this note?". You'll see "Note deleted". Deleting can't be undone.

Community members

  • Someone who's in your community also has a Private host note on their Community tab. That's part of your community tools; see Care for your members.
  • For a community member who isn't in People yet, the Overview tab shows Add to contacts: "Save a note to create a CRM contact and keep this relationship alongside your clients." Writing a note there and clicking Save note adds them to People with that note.

Good to know

  • Notes are private. Members never see them, and they aren't included in exports.
  • Each note shows how long ago it was written, such as "3 days ago". Put a date in the text if you want an exact one.
  • A lead's form submission can also carry a Creator Note on that form's lead page in Forms & Funnels. That note stays with the submission and doesn't appear in the profile's Notes.
  • Writing notes needs an active Soul plan.
