Turn on rooms, add your treatment rooms and studio spaces, and attach them to in-person sessions so two bookings never land in the same room.

Beta. Resources is marked BETA in the dashboard menu and may change.

A Room is a physical space that holds one booking at a time: a treatment room, a studio, a consulting room. Once a session type uses rooms, Soul only offers a time when one of its rooms is free, and reserves that room with the booking. You'll end up with no more double-booked rooms, even when several practitioners share them.

When to use this

  • You have more than one treatment room or studio, and practitioners share them.
  • Two people kept booking the same room at the same time.
  • Clients care which space they're in (the room with the view, the one with the bath).

If you only have one room and one practitioner, you don't need rooms: your own availability already prevents overlaps.

Turn rooms on

Open Resources

Go to Business → Resources. Until rooms are on, the Room tab shows a lock and Disabled.

Enable

In the "Need more resource types?" banner, click Enable Room & Addon (or Enable Room if add-ons are already on). You'll see "Room & Addon enabled".

Add your rooms

Open the Room tab

Select Room in the left rail.

Click Add Room

In Create Room, enter a Name (for example Studio A or Garden Room) and an optional Description. Rooms have no Capacity field: a room is always one booking at a time.

Create

Leave Active on and click Create. Repeat for each room.

Set hours (optional)

If a room is only free at certain times, open it and set Weekly Hours on its Availability tab. See Availability and time off.

Attach rooms to a session type

Rooms only work for in-person sessions. The Room row appears on a session type once In Person is on under Session Modalities.

Open the session type

In Offerings → 1:1 Sessions, open the session type and check In Person is on.

Open Manage Rooms

In the Room row, click + (or … → Manage Rooms). With nothing added yet you'll see "No rooms assigned".

Add rooms

Click Add Room, select every room this session can use under "Select rooms to add", and click Add.

Choose who picks

Under "Who picks the room?" choose Auto-assign (Soul picks a free room) or Customer picks during booking (clients choose).

A room added to a session is required: if none of its rooms is free, that time isn't offered.

How rooms behave

  • One booking per room. A room booked by any session type, or reserved for an event, is busy for everything else then.
  • Groups share a room. In a group session, everyone who books the same slot is in the same room.
  • Online bookings skip rooms. In a hybrid session, a client who chooses Online doesn't take a room or see room choices.
  • Rooms and staff are checked together. A time needs a free host and a free room at once.
  • Buffers apply. Booking Buffer Time keeps a gap after each booking in the room too, which is handy for cleaning and turnover.

Several practitioners, fewer rooms? Put all of them and all the rooms on the session type. Soul then only offers a time when a practitioner and a room are both free, so you can never sell more sessions than you have rooms.

Rename, pause or remove a room

What your clients see

With Auto-assign, nothing changes until they've booked: their booking page then shows the room. With Customer picks during booking, they see Room above the calendar, with the first room already selected, and only times when the selected room is free. The session page shows only your city. The full address is on their booking page once they've booked.
