Staff, rooms and add-ons: the people, spaces and equipment your sessions and events need, each with their own hours, so nothing is double-booked.

Beta. Resources is marked BETA in the dashboard menu and may change.

Resources are the things a booking needs to happen: Staff (who runs it), Rooms (where it happens) and Add-ons (equipment or extras, like mats, towels or a massage table). Each resource has its own hours and its own calendar of bookings. When a client books a 1:1 session, Soul only offers times when every resource that session needs is free, then reserves them with the booking. Events can reserve resources too.

You manage them in Business → Resources ("Organize and manage the resources your business uses."). The page is titled Resource Management.

When to use resources

The three kinds

KindWhat it isCapacityTurned on
StaffA person who hosts sessionsAlways 1: one session at a timeFrom the start (marked Default)
RoomA physical spaceAlways 1: one booking at a time (a group shares it)With Enable Room & Addon
Add-onsEquipment or extras, from one item to a poolYou choose: 1 for something exclusive, more for a poolWith Enable Room & Addon

A staff member can be linked to a collaborator account (they log in, get their own meeting links, calendar events and booking emails) or be a standalone profile you manage yourself. Rooms and add-ons only apply to in-person bookings.

How the pieces connect

  1. Resources. You create staff, rooms and add-ons in Business → Resources. Each one is Active or Inactive.
  2. Hours. Each resource can have its own Weekly Hours and Date Overrides on its Availability tab, or be treated as available all week.
  3. Session types. In Offerings → 1:1 Sessions, each session type lists which staff, rooms and add-ons it can use, and whether Soul assigns them or the client picks.
  4. Booking. Soul works out the open times (the session's hours, minus anything the needed resources can't do) and reserves the resources when someone books.
  5. Allocations. Every reservation shows on the resource's Allocations calendar and in the booking's Assigned Resource section, where you can replace or add resources by hand.

Read How allocation works for the full rules.

Who sees what

WhoWhat they see
You (portal owner)Everything. You're already a staff member, and Soul adds you as the host of each new session type.
A linked staff collaboratorThe dashboard, like any collaborator. On a session's Bookings tab, My bookings shows the bookings routed to them.
ClientsOnly open times. If you let them pick, they choose a team member, a room or optional add-ons while booking.

Limits and good-to-knows

  • Add-ons have no price. Resources only control availability. A session costs the same whatever staff, room or add-ons are reserved. To charge more for an extra, create a separate session type.
  • Resources narrow times, never widen them. A resource's hours can only remove times from the session's own hours, not add to them.
  • One person, one place, one booking at a time. A staff member or room booked in any session type, or reserved for an event, is busy for everything else at that time.
  • Rooms and add-ons are in-person only. Online bookings use staff only, and clients who choose Online don't see room or add-on choices.
  • No "any available" choice for clients. Either Soul assigns, or the client must pick.
  • Deleting a resource doesn't touch existing bookings. Replace it on upcoming bookings first. See Staff.
