A step-by-step checklist for when a session with staff, rooms or add-ons shows no available times, or fewer than you expect.

Beta. Resources is marked BETA in the dashboard menu and may change.

A session only shows a time when the session is open and at least one host (plus a room and required add-ons, for in-person bookings) is free for the whole length. When clients see no open days on the calendar, or fewer times than you expect, one of those layers is closing the door. Work through this list in order.

1. Check the session's checklist

Open the session type in Offerings → 1:1 Sessions. If "Not ready to share yet" shows, fix what it lists:

CheckFix
Set weekly availabilityAdd hours on the session's Availability tab
Assign at least one hostOpen Manage Staff and add someone
Pick … optionsA required staff, room or add-on row is empty. Click Configure and add one.

2. Check the session's own hours

  • Does the session have weekly hours on that day?
  • Is there a Block in Date-Specific Availability, on the session or in One-on-One Settings (which blocks every session)?
  • Is the time inside your Minimum Notice Time? A 24-hour notice hides everything before tomorrow at this time.
  • Is the gap long enough? A 90-minute session needs a 90-minute window, plus buffer if bookings sit either side.

See Set your availability.

3. Check each host

Open Manage Staff on the session, then click each staff card to open their page.

What to look forWhy it hides times
Status Inactive (or the person was deleted)Inactive staff drop out of every session
Use weekly availability rules is on with no hours"No weekly hours set. This resource has no recurring availability." They're never available.
Their Weekly Hours don't overlap the session's hoursOnly the overlap is bookable. Hours outside the session never count.
A Block override on that dateThey're unavailable then
Their hours are in a different timezoneA linked staff member's hours are in their own timezone. The Availability tab says which.
Their Allocations tab shows bookings or events that dayThey're busy, plus your Booking Buffer Time either side
Their Google Calendar has events thenFor linked staff with Google Calendar connected, those busy times block them

If several people host the session, a time only needs one of them free.

4. Check rooms (in-person bookings)

  • Is In Person on, and does the Room row list at least one active room?
  • Are all the session's rooms booked or blocked at that time? Check each room's Allocations and Availability tabs.
  • Remember rooms are shared across every session type and event.

5. Check required add-ons (in-person bookings)

  • Is the add-on fully in use? Its Allocations tab shows Peak load, for example 12/12.
  • For group bookings with Per attendee on, a booking for 4 seats needs 4 free units. If the session shows "Session capacity exceeds a required add-on", the add-on can never serve a full group.
  • When an add-on is fully used, it stays unavailable for your buffer time afterwards.

See Add-ons and capacity.

6. Check what the client is choosing

  • With Customer picks during booking, the first option is selected for the client, and the calendar shows only times when that choice is free. Try each option under Who with or Room.
  • If the client picked one person, they only see that person's times. If that person has nothing open that month, no days can be picked.
  • In a hybrid session, choosing In Person adds room and add-on checks that Online doesn't have.

7. Check events

Events with staff, rooms or add-ons reserve them for the whole event. Open the event's Overview tab, or the resource's Allocations tab, to see if an event is holding them.

Still stuck?

Test the booking page yourself in a private window, choosing the same options as your client. If one practitioner works and another doesn't, the problem is in that person's page. If no one works, it's in the session's hours or a shared room or add-on.

I added a staff member's evening hours but no evening times appear

Resource hours never extend a session. Add the evening hours to the session's own Availability tab too.

Times disappeared after I switched on weekly rules

Switching on Use weekly availability rules with no Weekly Hours makes that person or room unavailable all the time. Add their hours, or switch it off again.

A client saw "Selected time is no longer available"

Someone else booked the last host, room or add-on a moment before them, or a hold from another checkout is still active. Unpaid checkouts release their hold after about 15 minutes.

Times show, but too many at once

Each free host can take a booking at the same time. If you have fewer rooms than people, add your rooms to the session so Soul limits bookings to the rooms you have.

I deleted a staff member and their old bookings still show them

Deleting doesn't change existing bookings. Open each one and Replace them. See Manage allocations on bookings.
